
Scanning
and
Imaging Process
A complete document imaging system is comprised of five elements - scanning,
storage, indexing, retrieval and access. Our imaging service provides the
scanning, storage devices and the indexing, and in turn we give you the
wherewithal to retrieve and access the information.
Scanning
We have high-end scanners with automatic feeds that scan up to
40-pages-per-minute. We can scan a job of any size and if we need outside
scanning assistance our scanning software can add the images to our database
in the form of portable volumes.
We also have the flexibility to scan documents of any size and include
them in your database.
Storage
Our storage function uses two basic methods to store media available for
imaging.
For those images that will be accessed from the Web, we store them directly
on our web servers hard drives and back them up accordingly. Documents that
are scanned from individual files and customer file cabinets are stored on
CD's and copies are burned and supplied to the client as needed.
Indexing
Our indexing system organizes your documents for future use. After initial
preparation (removal of staples etc.) the documents are scanned and stored
and our software indexes them for rapid future access. The software uses
three methods to effect this organization - indexing words inside the document
(OCR-Optical Character Recognition), storing documents in folders and
assigning index fields to documents. With these three options, our clients
are able to virtually search and retrieve information from key word or key
word groups to folders and individual fields in documents.
Retrieval
Retrieval is facilitated through the broad application of the indexing
system. Our imaging software enhances the retrieval process by hard coding
the indexing into the CD's provided to the client and into images residing on
the web server. Thus, any authorized individual can access the information
without having to invest in expensive retrieval software.
Access
The key to the success of an imaging system is the ability to access the
information after it is imaged. Our software gives our customers the ability
to access the images on their desktops or via the Internet. These images can
then be transported anywhere via E-mail, Fax or print copy.
